For ongoing collaboration projects, pick a tool that people can use when it's convenient, like shared docs and online whiteboards.
And, when you do need to bring people together as a group, use your time effectively, be clear about what you need, be thoughtful about who you invite, and share a briefing doc in advance, if you can.
